Business letter is surely different than any other kinds of personal letter. In writing this letter, you need to pay attention to some different factors that will be very useful to make your letter more professional. Surely, there are several differences that you have to notice in writing this letter. You can simply follow these following procedures in order to write a good professional business letter.
First, you can begin by writing the date of writing in the upper left corner of the paper. The date will be really important as the business reference later. Second, you need to state clearly the name of the recipient. You can also add her or his job title, the company name and the address along with his or her name.
Third, you can continue to the salutation. Put your salutation word in the upper left corner of the paper. The most common salutation used is Dear that is followed by the name of the recipient. However, in order to give more professional look, you can address the recipient formally by using Mr. or Ms. Meanwhile, Sir or Madam will be a good option if you can not get the name of the recipient.
Fourth, you can continue to write the body. In writing this part, you have to keep in mind that you should not indent each paragraph. Instead, you can simply use space between paragraphs. Do not forget to state the purpose of writing the letter in the first sentence of the body. Besides, make sure to state the points clearly. Do not beat around the bush.
Fifth, you can choose the appropriate closing to be used in your letter. Sincerely is the most common closing used by people, and usually it is followed by a comma. Then, you need to type your name below the body. Add your name.
Sixth, edit and check your letter carefully. Do not let any mistype, grammar errors, or spelling errors make your letter looks less professional. Print the letter, and you can add signature on it.
